The Azerbaijan Cultural Society of Edmonton (AzCSE) is a non-political, inclusive organisation dedicated to celebrating, preserving and promoting Azerbaijani culture. Our diverse membership comprises individuals from various countries and cultural backgrounds, all united by a shared passion for Azerbaijani heritage. Our organisation successfully achieves its mission by offering regular cultural programs and events that bring together people from different ages, genders, religions, and ethnicities. These programs encompass a wide range of cultural aspects, including music and dance, language and literature, customs and traditions, cuisine and more. AzCSE also actively contributes to the vibrant multicultural society by participating in city and province-wide events. We also support new immigrants in their journey to integrate into mainstream society while celebrating and practising their cultural heritage.

Administrative Officer
Job description
Reporting to the Board of Directors, the Administrative Officer is responsible to support the AzCSE leadership Team in achieving smooth operations of the organisation. The Administrative Officer will support administrative activities, communication, coordination of information and tasks, board support and general office functions. The Administrative Officer will have strong communication, collaboration, organisational and time management skills to successfully execute their position responsibilities.
Requirements
College/University degree in business, education, social sciences or another related field preferred
Strong written and verbal communication skills in Azerbaijani and English
Canadian work experience is preferred
Experience in a not-for-profit setting is preferred
Exceptional communication skills in all areas of work, including demonstrated discretion and confidentiality when preparing, disclosing, or handling sensitive information.
Comprehensive technological skills and ability to learn new systems required
Preference will be given to former/current AzCSE volunteers
Personal Attributes
High level of initiative and self-motivation.
Demonstrated engagement and collaboration skills.
Accuracy and focus on details, while understanding how those details fit into the larger context.
Ability to complete tasks effectively while strategizing achievement of overarching objectives.

WORKING CONDITIONS:
Part-Time work based in Edmonton
Work schedule: Flexible schedule includes some evenings and weekends.
On-demand to respond to after hour communication issues and/or requests.
Compensation: competitive with the current market.
Responsibilities, including but not limited to:
Administrative support:
Support the President, and as required the Board of Directors, to manage community work
Preparing meeting materials, taking minutes, and disseminating information to members.
Submit expenses, process invoices and coordinate signing documentation (i.e. applications, reports, etc.)
Identify opportunities for process improvements to improve organisation and position workflows to enhance efficiencies.
Communication:
Act as the central point of contact to coordinate collaboration/communication efforts between the President and both internal and external stakeholders including the Leadership Team, Board of Directors, and Partners, among others.
Prepare communication drafts such as emails, letters, and reports as required.
Review, triage, and respond to incoming communications as appropriate to the role.
Support the President to identify and address communication gaps both internal and external to the organisation.
Information Coordination:
Maintain accurate records and electronic file systems for easy access to information for the Board of Directors
Coordinate data collection for basic reports, plans and other documentation to support the Board to manage their timelines.
Disseminate information to appropriate colleagues within the organisation and/or external to the organisation as requested.
Gather, analyse, and present information to the President and where appropriate the Board, to support decision making.
Board Support
Schedule meetings, prepare agenda and other supporting documents for distribution and record minutes as needed.
Support Board Members with completion of activities appropriate within the role (i.e. Board committees, scheduling meetings, record keeping, meeting sustenance, event planning, volunteer coordination, grant writing etc.)
General Office Support
Provide back-up support for office coordination activities as required.
Understand office technology systems required for completion of work.
Other Duties
Perform other related duties as identified to meet the needs of the organisation.
